We are working with a growing, lively and well-established company based in W1 who are looking for a highly efficient Executive Assistant and Office Manager to come on board and support their team.

Working amongst a passionate and driven group of individuals, this is a busy role that will also require excellent time management together with strong research and IT skills (especially Excel, Outlook and PowerPoint). The successful candidate will be upbeat, reliable, happy to do a variety of jobs, discreet and committed. The ability to speak and write German would be a huge advantage.

Responsibilities include:

Administrative and business support to the Managing Director and Head of Business Development

Daily Itineraries being managed and sent out to the team

Assisting the telephone sales team with emails at the end of each day

Scheduling of meetings

Office administration including flowers / coffee orders / ensuring the printers are working etc.

Creating agendas, taking minutes and following up on action points

Setting up conference calls / video meetings

Project support, undertaking personal bookings / orders / research for Managing Director and Head of Business Development

Managing and reporting on the software results at the end of each week

Answering the phone

Keeping track of holidays / lateness / absence for the sales team

To be shortlisted for interview you will additionally need:

An excellent phone and email manner

An “all hands-on-deck” mentality: not precious about doing various tasks for other sectors of the business

Skills to conduct research and put together PowerPoint presentations

A confident, tech literate approach to IT

What’s in it for you?

Salary of £35,000

An excellent work life balance – hours are 9.00am – 5pm, Monday to Friday

Our client offers free health insurance, a pension structure and performance related pay rises (normally after 3-6 months). On top of that every month they do a “fun day” for the business development team (you will be part of the team) such as an afternoon off, a work social lunch, and other team events.
