As a core member of the team, the successful applicant will work closely with the two owners / directors on a broad range of tasks relating to systems, finance, planning, administration, HR and logistics. You will support the production team and coordinate with the accountant.

You will:

  • Take a proactive role in overseeing the Administration and smooth running of the company.
  • Supervise and oversee the work of two staff members.
  • Assist in the development and execution of operational systems to improve the efficiency of this busy and rapidly growing company, in particular responding to orders and overseeing stock.
  • Day-to-day management of Shopify Sales Channel
  • Oversight of team hours on Clockify
  • Update website details and use apps to develop and improve the engagement and efficiency of the website.
  • Monitor and maintain stock levels for peripheral items of equipment.
  • Liaise with the Directors regarding new customer accounts. Raise orders, deal with invoicing queries, filing and mailing.
  • Take responsibility for Purchase Order tracking and control to ensure the smooth operation of the system.
  • Take responsibility for customer relationship management, handling customer enquiries, ensuring the highest level of customer service.

Administration

  • Management of the shared GDrive system
  • Managing central calendar, including reminders to clients re. machine services
  • Managing process and communications with any freelance designers
  • Coordinate projects such as new product launches etc

Inventory

  • Oversee weekly stock takes and system inventory adjustment
  • Order replenishment stocks in coordination with the roastery team
  • Keep product listings up to date on all platforms to avoid mis-inventory
  • Onboard all new products across systems, coordinating their supply, design and logistics requirements.
  • Process orders for new equipment and ancillary products

Finance

  • Day-to-day management of invoicing and inventory using bespoke system
  • Day-to-day management of liabilities and receivables on QuickBooks Online
  • Daily reconciliaton of bank transactions when matched to an invoice or requisition
  • Send customers statements monthly and coordinate with the sales team on chasing payment
  • Review cashflow position and feedback to Directors
  • File and send all invoices monthly to accountant
  • Send monthly hours to accountant for payroll

Communications

  • Manage, address and delegate from the info@ inbox
  • Manage, address and delegate all customer inquiries from wholesale and retail
  • customers across all platforms
  • Monthly Mailchimp Newsletter and Subscribers Digest emails
  • Weekly scheduling of social media engagement
  • Coordinate with sales team on weekly Wholesale updates

Logistics

  • Coordinate with Production Team on delayed or queried orders
  • Place orders on time and manage supplier and delivery timelines

Also undertake HR duties

  • Maintain filing systems for staff training records. including reviews and proactively liaising with Directors to highlight any issues
  • Overseeing payroll, holidays and sick leave
  • Processing pay including managing commission payments for sales staff
  • Overseeing hours and workflow for freelance sales staff
  • Managing Annual Leave calendar and requests

Highly Desirable Skills include

  • A general interest in art and an added bonus would be graphic design skills to update and tailor marketing material
  • Project management experience - running and assisting in the development of systems

Hours: 9am - 5pm, Monday to Friday

Salary is negotiable according to skills and experience
